What's included

Our DPO service includes all of the key elements below. The level of this service depends upon the DPO time required.

Part of the Team Advice & Guidance Incident Management GDPR Assurance

Our DPO's meet regularly with you and keep your management team updated.

The appointed Data Protection Officer will attend your school on a planned basis (level 3 and above) to meet with senior management and provide them with a written report on their current risks and issues (including any interaction with the ICO).

Our intention is to fully integrate our services into your school so that we can mutually progress towards implementing ‘privacy by design’. With this in mind, we typically like to work with our clients for at least a twelve month period.

We provide advice and guidance on all your data protection issues and enquiries.

We provide advice and guidance by either the telephone or email as and when required (note – we endeavour to provide this within 24 hours on initial contact). This crucially includes dealing with inquiries from new and potential customers and assisting with bid management processes.

Our DPO’s are often involved in providing initial guidance on breaches of data protection and also the handling of Data Subject Access Requests (DSAR’s). Depending upon the level of service, we often take full accountability for managing this within the organisation.

We develop your incident management plan and manage this in the event of a breach / loss.

In the event of a breach of data protection as specified in the GDPR the DPO will act as the liaison and incident manager with the Information Commissioners Office (ICO).

The DPO provides initial validation of the breach and advises the Controller (i.e. the client organisation) of the activities required to manage the incident appropriately. The DPO will ensure that the ICO is informed of the breach within the allotted 72 hours of the breach becoming known to the client organisation (assuming that the DPO is appropriately informed).

Note – Our professional approach to breach management often results in the ICO taking no further action.

We will regularly monitor your level of GDPR compliance and make the appropriate recommendations.

Our DPO services include the constant assurance monitoring of your overall compliance with GDPR (Data Protection Act 2018 in the UK).

This is an important way of expediting your quality management approach to data privacy, privacy by design in general as well as demonstrating your compliance to your business partners. The most important benefit of this is service is to ensure that areas of risk are identified and managed before they result in a breach of GDPR.

Note – All of our DPO as a Service clients (Level 2 and above) are entitled to a free 6 monthly compliance audit.

WHY OUTSOURCE THE DPO ROLE?

The role of a DPO is a specialist one, requiring a thorough understanding of GDPR, broader data privacy management and information security.

Many organisations now require a DPO that wouldn’t have considered it necessary previously, even some very small organisations now legally require one. Hiring a DPO is not straightforward, not only do they demand a fairly high salary (circa £70K per annum) but their availability in the market place is challenging due to the lack of trained resources looking for a role of this nature.
